Humsafar Components


Project Management

The Humsafar Trust had started its activities in an organized manner since 1994. However for lack of professional expertise support from within the community, documentation and development of project management tools had to wait.

A.1 Financial Management Systems

The process of developing financial systems within the trust premises began with the FHI-USAID grant being sanctioned in February 2001. Tally 5.4 package was introduced and the project manager started developing systems of effective maintenance of books of accounts. A full time accounts executive who looks into accounting work including preparation of monthly statement of expenses that are submitted to the donor agencies is now managing the work that was managed by the chartered accountants. The books of accounts undergo an internal audit every three months by the Program Manager at the trust office and reviews of the accounts are done at regular intervals. At present the HST has upgraded to tally 7.2 version.

A.2 Management Information Systems: (MIS)

In the month of September 2002, HST started the process of developing its own MIS. In a day long meeting under the entire team of HST deconstructed Humsafar Trust and its various activities into 9 components. Based on the deconstruction various points of each component were worked out to draw necessary information at each stage. The information that the organization will need from each component formed the foundation stone of the present MIS of HST. Designs for MIS for each component was worked and the same was implemented using simple excel sheets. As IMPACT draws to a closure, In 2006 FHI under IMPACT also introduced the CMIS to track the progress of the project. Based on the similar guidelines The Humsafar Trust has developed its own MIS software that tracks its existing 13 projects over 200 indicators. The HST is regularly training various other NGO's in setting up their MIS and increase efficiency of their projects in 2006.

A.3 Human Resources Policy

In April 2003, HST decided to take initiative to set up its own Human Resources Policy to protect the interests of the people working at HST and make itself a professional organization that is accountable to its staff. The Humsafar Trust follows its human resources policy on various issues listed down in the HRP to ensure a fair treatment policy to its staff:

5) Indicators of Job Appraisals
6) Increments
7) Bonus
8) Group Health Insurance
9) PPF/Gratuity
10) Training
11) Contract and Notice Period

15) Leave by PLHA
16) Overtime
17) Duties and Responsibilities of Staff
18) Rules and regulations to be followed at work
19) Reporting structure

The HRP undergoes yearly review and is now being used by many organizations to set up similar human resources policy for the benefit and fair treatment of their employees. The HST has also developed its own financial and programme related operation manual.
